Overview:The Executive Administrative Assistant will be touching all aspects of the business within AMEND, assisting Partner(s) with scheduling and follow ups to client calls. In this role, you will also be assisting in preparing sales forecasting reports, planning and coordinating networking and client outreach events, overseeing administrative duties, and maintaining a high level of customer service both internally and externally. The role involves direct communication with clients and internal leadership and requires close attention to detail and the ability to handle confidential business decisions. Our ideal candidate has experience in Communications and/or Sales and Marketing and is highly organized with immense attention to detail.
The EAA will report directly to the VP of Business Services and will be a part of our internal shared services organization with customers including Partners and Consultants (internal), Clients and Network (External). He or she will primarily focus on the Founding Partners, touching both the AMEND Consulting and AMEND Ventures Business Units. Additionally, as is true of all shared services team members - you'll be a critical member of our office team and be expected to integrate into our culture and help office operations run professionally and smoothly every day. This position is a full-time, on-site role at our office in Downtown Cincinnati. Flexible schedule options are available to discuss upon request.
Job Tasks:

  • Expert level scheduling, planning, written and verbal communications
  • Detail oriented appointment setting at the volume of 40+ per week
  • Prioritizing of Key Customers and Activities on partners' schedule
  • Negotiating with meeting participants as urgent/important needs change
  • Continuously evaluate and improve the speed of these tasks through technology and automation ideas (such as online scheduling portals, etc.)
  • Create, format, edit, and finalize HIGHLY professional reports, proposal documents, email communications, and presentations.
  • Experience in Microsoft Word, PowerPoint, and Excel is required
  • Assemble and distribute sales forecasts and critical updates from partners to AMEND leaders and to AMEND BOA members (board of advisors)
  • Plan and design promotional presentations.
  • Partners that you support will have daily/weekly updates to go into our CRM system, for both AMEND Consulting and AMEND Ventures
  • Following the design of the Director of Sales and Marketing:
  • Enter data inside of AMEND's Customer Relationship Management system (CRM). Pro-actively communicate with Sales and Marketing team, Project Leaders and Partners surrounding sales pipeline and status updates.
  • Prepare and present on progress reports, sales pipeline, and/or project milestones and deliverables.
  • Coordinate logistics for events such as accommodations, transportation, facilities, catering, special requests/requirements, and printing of materials.
  • Design and implement efforts to publicize events and promote sponsorships.
  • Coordinate comprehensive project management overviews and calendars for both internal and external individuals.
  • Prepare and administer project proposals based on Partner and sales team input.
    Qualifications:
    • Bachelor's degree in marketing, business, or communications or equivalent experience
    • Excellent communication, presentation and relationship building skills
    • Ability to manage multiple projects and priorities
    • Empathy and calm confidence
    • Familiarity with content management systems (CMS) and customer relationship management (CRM) tools
    • Experience working with budgets and forecasting preferred
    • Ability to interface with multiple other business functions (internally and externally)
    • Curiosity to ask questions and challenge the status quo
    • Creativity to devise out-of-the-box solutions
