Assumes responsibility without direct supervision and makes decisions within the scope of position. The Receptionist is responsible for greeting visitors, residents, employees, applicants and anyone else entering the facility; operating the phone system in a courteous and helpful manner; completing clerical and daily office assignments.QUALIFICATIONS/REQUIREMENTSEducation - High school diploma or GED.Experience - Minimum of one-year experience in customer service setting, preferably six months receptionist experience in health care setting and experience with office equipment.License/Certification - None RequiredSkills - Skill in using office equipment satisfactorily and handling paperwork/filing adequately. Skill in customer service principles by creating a pleasant waiting room atmosphere. 50 wpm typing skill preferred.Risk Category - Cat. III: limited exposure to communicable diseases.Working Conditions - Office setting, well-ventilated and well lighted. Must be flexible and willing to work a variety of shifts and hours, including holidays and weekends. Must have to ability of handling multiple tasks and be able to manage priorities.Physical Demands - Sitting for 7-8 hours/day. Requires eye-hand coordination, finger dexterity. Vision must be corrected to 20/20 and hearing must be in normal range. Must be able to view computer screens for long periods. Occasional stress related to workload and customers with problems.Personal Protective Equipment Requirements - As required in the MSDS Safety Manual.JOB SPECIFIC ACCOUNTABILITIES

  • Types memo, documents and reports according to departmental procedures and with 90-95% accuracy as observed by supervisor with examples.
  • Sorts and distributes mail accurately with 90-95% accuracy within 24 hours of receipt as indicated by feedback from staff and residents.
  • Schedules various meetings and appointments according to departmental procedures as observed by supervisory observation.
  • Greets external customers in a professional and courteous manner as observed by supervisor and by customer feedback with no more than one complaint per quarter.
  • Assists internal customers in a professional and courteous manner as observed by supervisor and by customer feedback with no more than one complaint per quarter.
  • Directs complaints/concerns to appropriate departments or individuals as per policy with empathy and concern as indicated by customer feedback with no more than one complaint per quarter.
  • Coordinates, orders and maintains office supply/forms inventory as necessary with no more than one outage indicated per month as noted by supervisory observation.
  • Answers telephones according to departmental policy in a professional and courteous manner with no more than one complaint per quarter as indicated by customer feedback and supervisory observation.
  • Operates paging system according to departmental policy in a professional and courteous manner with no more than one complaint per quarter as indicated by customer feedback and supervisory observation.
  • Routes calls or takes messages for appropriate departments or individuals in a professional courteous manner with no more than one miscommunication reported per month as indicated by customer feedback and supervisory observation.
  • Incorporates the Core Values and Success Factors that support the Mission and Vision of Catholic Health Partners.
  • Receives and Disburses funds of resident trust account in accordance with facility policy.
