for you! The Executive Assistant will provide high-level
administrative support to our firm and our team of financial
advisors by assisting in day-to-day operations and managing our
company's general administrative activities. The Executive
Assistant serves as the primary point of contact for internal and
external constituencies on all matters pertaining to the Managing
Partner. The ideal individual will have the ability to exercise
good judgment in a variety of situations, with strong written and
verbal communication, administrative, and organizational skills,
and the ability to maintain balance among multiple priorities. The
Executive Assistant will have the ability to work independently on
projects, from conception to completion, and must be able to work
under pressure at times to handle a wide variety of activities and
confidential matters with discretion. Primary Responsibilities: ---
Provide overall assistance and administrative support for and
develop a strategic business partnership with the Managing
Partner--- Act as a liaison between the Managing Partner and
internal employees / external clients--- Organize and maintain the
Managing Partner's calendar - coordinate, schedule, and organize
business/personal visits, meetings, conference registrations and
make business travel arrangements--- Work closely and effectively
with the Managing Partner to keep him well informed of upcoming
commitments and responsibilities--- Assist the Managing Partner in
preparing to participate and effectively lead key meetings and
events, including content development, research and coordinating
activities of other contributors--- Assist with preparing meeting
agendas, accurately recording meeting notes, and tracking
follow-ups on action steps, as needed--- Research, prioritize, and
follow up on incoming issues and concerns addressed to the Managing
Partner, including those of a sensitive or confidential nature.
Determine appropriate course of action, referral, or response.---
Tactfully handle difficult situations with staff and clients while
remaining positive and professional. When needed, escalate issues
to the appropriate staff members--- Prioritize conflicting needs;
handle matters expeditiously, proactively, and follows-through on
projects to successful completion, often with deadline pressures---
Screen, sort and handle telephone calls, filing, and incoming mail.
Manage information flow timely and accurately--- Drive annual
priority setting process - works with functional area leaders to
define objectives and performance metrics for each priority,
establish a quarterly calendar of scorecard reporting and
facilitate periodic progress and status reviews--- Deliver
world-class customer service to clients - both over the phone and
in person--- Champion a strong company culture; driving
collaboration and partnership Qualifications / Experience: ---
Proven experience as an Executive Assistant or other relevant
administrative support experience--- Strong organizational skills
that reflect ability to perform and prioritize multiple tasks
seamlessly with excellent attention to detail--- Demonstrated
proactive approaches to problem-solving with strong decision-making
capability -- Excellent time management skills --- Make
appropriate, informed decisions regarding priorities and available
time--- Exceptional organizational skills and attention to
detail--- Maintains customer confidence and protects operations by
keeping information confidential--- Excellent verbal and written
communication skills--- Very strong interpersonal skills and the
ability to build relationships with stakeholders co-workers,
clients and various business contacts in a courteous and
professional manner--- Ability to complete a high volume of tasks
and projects with little or no guidance--- Proficiency in using
various software packages such as CRM /Microsoft Office Suite
(Word, Excel, OneNote, PowerPoint, SharePoint, Teams etc.), etc.
