Summary

The Lead Advanced Medical Support Assistant (AMSA) position serves as the direct line Lead for all Advanced Medical Support Assistant (AMSA) staff and is a foundational role within Radiology Service at the Cincinnati VA Medical Center.

    Major Duties:

    Verify patient orders and Inter Facility Consults (IFC) for Radiology and ensure order/IFC accuracy. Must have a solid understanding of the exams offered, authenticate that the appropriate exam is requested based on reason and clinical history of the patient.

    Provide administrative support to the Section Chief, Radiology. Assist the Lead Radiology Technician with the monthly Radiology Technologist on-call schedule by typing, getting approval, and then placing the on-call schedules in a VAMC shared drive and forwarding each

    monthly on-call roster to the VAMC operators. Assist with calling in critical patient reports to the clinical provider/clinical staff when needed and other duties as assigned.

    Incumbent assists the Radiology Technologists by registering and editing patient exams as well as canceling exams/case numbers in the Radiology VISTA package.

    Must know the policy for placing and verifying patient consults for Fisher House stays as well as place

    travel consults for patients once verification has been checked by incumbent and collaborating with other departments to ensure travel for qualifying patients as well as directly placing travel consults for patients once incumbent has verified travel eligibility for patient.

    The Lead AMSA monitors maintains efficient workflow within Radiology. Assignments at this level include but are not limited to, assuring coverage of all areas of responsibility; ensuring accurate and timely scheduling of appointments; orienting and providing on-the-job training for new and current employees, Incumbent coordinates the rotating University of Cincinnati Radiology student technicians by preparing and forwarding necessary paperwork and documentation needed to approving authorities.

    The Lead AMSA assists in collaboration of an interdisciplinary coordinated care delivery model and performs all related duties; customer service and other duties assigned for the proper and timely treatment of patients and assure appointment schedules are maintained by all scheduling staff for Radiology.

    He/she must assist with clinic access contingency plans by recommending adjustment of appointment times, location, or dates. Supports patient safety standards using the correct identification of all patients use two forms of identification, name, and full Social Security Number. The patient may also present the Veterans I dentification Card (VIC) for identification.

    Assures self and front-line contact with patients and staff by setting the tone for perception concerning quality of healthcare services at the VA. A high degree of tact and diplomacy is required when dealing with veterans who have multiple health problems and who may be frustrated with the administrative process associated with diagnosis and treatment. A caring, compassionate, and sensitive manner is essential when explaining procedures and clinical processes to Veterans and their family members both in person and on the phone.

    Incumbent must screen/receive phone calls in a courteous and timely manner, determine the nature of requests and provide the information desired using privacy rules and established clinic processes.

    Incumbent must be able to perform and assist in training staff on the requirements of VHA Radiology Scheduling Directives and complete accurate scheduling responsibilities:
    • Schedule appointments in a timely manner. All appointments will be made with the patient's input, either in person or by phone. This may require a high-level of coordination to avoid patients having to make multiple trips to the medical center or clinic whenever possible.
    • Notifies his/her supervisor when clinic access is less than desirable or if an individual patient cannot be scheduled within mandated clinic timeframes.
    • Daily review of active/pending and patient hold orders for accuracy and disposition. The Lead AMSA can independently manage position responsibilities with little supervision as well as set priorities and deadlines adjusting the flow and sequencing of the work to meet team and patient needs.

      Additional duties or tasks may be assigned by the supervisor to ensure efficient daily operations.

        Basic Requirements:

        • Experience: Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position;

          • OR Experience/Education Combination: Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable (you must provide transcripts for verification if using this as meeting the basic requirement). May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).

            Grade Determinations: To qualify for the GS-07 level, you must have one year of experience equivalent to the GS-6 grade level. Experience at the GS-6 includes but is not limited to: participating in team huddles and team meetings to manage and plan patient care; setting priorities and deadlines, adjusting the flow and sequencing of the work to meet team and patient needs; may work with the team to reinforce the plan of care and self-help solutions and entering appropriate information into the electronic record; monitoring pre-appointment requirements to assure readiness for the patient visit/procedure (e.g., X-ray, lab work); managing electronic wait list to verify and validate accuracy and resolve issues; participating and providing input in problem solving on operational issues or procedures in team meetings, performing administrative follow up actions; participating in and independently following up on team huddles by sharing information and collaborating with the medical team to assure continuity of care; evaluating patient information and clinic schedule lists to determine whether patient is vested; educating providers about shared patients (those who receive their care at multiple Vas or those who have care in the community) and bringing to the attention of the provider.

            Candidates must also demonstrate all of the knowledge, skills, and abilities below:
            • Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources.
            • Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting.
            • Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines.
            • Skill in communicating with individuals to obtain the desired effect and coordinating with a variety of interdisciplinary care team staff.
            • Ability to provide staff development and training.
            • Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs.               Physical Requirements: The work is primarily sedentary for the office setting. The incumbent should possess coordination and dexterity necessary for the safe and efficient operation of office equipment. There is a need for standing, walking, bending, and carrying lightweight supplies such as medical charts, office supplies, etc. The incumbent may be required to assist wheelchair bound or stretcher patients to/from clinic exam rooms.
