Job Description DetailsJOB TITLE: Executive AssistantREPORTS TO: President - CornerstoneJOB SUMMARY: Provide executive assistance to the President of CBI, CFO and President of Garnet Hill, including, but not limited to, schedule management, travel and expense management, preparing correspondence, report preparation and all other assignments related to a high-level administrative support role.JOB RESPONSIBILITIES:* Schedule, and manage complex Outlook calendars, requiring interaction with both internal and external executives, assistants, and vendors to coordinate a variety of meetings.

* Coordinate timing, and logistics of internal executive-level, and company-wide meetings; assist with the preparation, and distribution of meeting materials; order refreshments/lunch; take meeting notes, as required.

* Draft reports, letters, memos, and presentations using various software tools such as Office 365.

* Produce strategic and operating plan documents.

* Review incoming, and outgoing communications for President of Garnet Hill, CFO and President of CBI, where appropriate, take initiative on requests and inquiries of administrative nature.

* Communicate regularly with the President of Garnet Hill, CFO and President of CBI and ensure that they are prepared, organized, on schedule, and ready for all meetings, and events.

* Coordinate complex travel arrangements, track expenses and prepare expense reports in a timely manner.

* Maintain and distribute monthly Organization Charts for CBI and Garnet Hill.

* Maintain accurate filing system for the President of Garnet Hill, CFO and President of CBI as needed.

* Manage the charitable donations budget and disbursements for both the Garnet Hill Franconia and Exeter communities. Seek approval from OPS Committee on monetary contributions and communicate with the Brand Manager, quarterly, to ensure Brand work alignment.

* Manage publication of the Garnet Hill Natural News, distributing no less than quarterly.

* Assist with Garnet Hill Integrated Calendar scheduling and meetings involving the President, as needed.

* Develop Garnet Hill's office administration budget, ensure office administration (shipping, office/kitchen supplies, etc.) costs are reasonable and managed to budget.

* Manage Garnet Hill's magazine publications/subscription renewals.

* Manage upkeep of the employee directory on the Garnet Hill Intranet.

* Partner with Operations Administrative Assistant in planning and coordinating Garnet Hill company events and extracurricular activities, i.e., holiday party, summer outing, etc.

* Actively participate in the Garnet Hill Safety Committee, Communications Team, CCF, and Wellness, Rewards and Recognition Committee.

* Perform routine office assignments such as filing, record maintenance, copying, etc.

* Be available for special projects and general administrative duties as assigned.

* Other responsibilities as directed and necessary for the business.

EDUCATION/EXPERIENCE:* 5+ years of executive, administrative experience

* Bachelor's degree and/or equivalent work experience supporting senior executive(s)

TECHNICAL EXPERIENCE/KNOWLEDGE:* Proficient in Office 365: TEAMS, Word, Excel, PowerPoint, Outlook

* Excellent proofreading/editing skills

SKILLS:* Self-starter with the ability to work with autonomy in a team environment, ability to prioritize and proactively anticipate and solve critical issues

* Exceptional verbal and written communication skills with the ability to communicate effectively with internal and external customers at all levels

* Strong attention to detail

* Proven time management skills with the ability to execute effectively against multiple tasks and tight deadlines

* Demonstrated ability to take initiative, anticipate needs and exercise independent/sound judgment

* Direct experience in dealing with sensitive and confidential matters; maturity, discretion and confidentiality is essential

* Ability to work and thrive in a fast-paced environment
