Summary of Responsibilities:
Works closely with real estate debt investment professionals and project managers to organize, coordinate and support administration of day-to-day real estate debt investment related activities. Regularly interacts with mortgage loan producers, analysts, closing and servicing associates. Works under some supervision; responsible for making a minimal range of decisions and regularly keeping manager updated.
Position Responsibilities:
Performs real estate investment reporting, projects, managing and tracking documents and alerting interested parties of delays or issues that could impact the investment/project.
Ensures projects adhere to frameworks and all documentation is maintained properly for each project.
Manages the Real Estate Investment Process ensuring all real estate investment recommendations.
Attends meetings and prepares memos, reports, letters, and meeting minutes for distribution to real estate investment professionals and project managers as needed.
Screens all incoming CML documents/materials to determine completeness and appropriateness.
Assists in the collection of borrower financial statements, inspection files, appraisal information, tax tracking, annual certification of taxes, escrows, and insurance, refiling of UCC's, partial releases, condemnation proceedings, ownership changes, execution of subordination and non-disturbance agreements, assumption.
Creates and tracks monthly reports including gathering data and organizing information.
Assists in the retention of all real estate investment records.
Assists in the development of project tracking materials and SOP development.
Acts as point of contact/resource for debt investment archives.
General administrative duties, as needed.
Performs other duties as assigned by management.
Selection Criteria:
Typically requires a minimum of 2 years of professional or real estate investment administrative experience.
Demonstrated familiarity with some or most of the common commercial real estate transactions and processes (mortgage loan applications, financing, leasing, market research, etc.).
Proven self-starter with experience coordinating multiple projects simultaneously, and completing assigned tasks accurately and on a timely basis, in a fast-paced environment.
Demonstrated high level of attention to detail as well as excellent organizational skills.
Demonstrated strong verbal and written communication skills with ability to convey information to internal and external customers, at all levels, in a clear, accurate, focused and concise manner.
Demonstrated strong analytical skills including identifying, defining and resolving client problems/issues, collecting or interpreting data to establish facts, draw valid conclusions and provide effective and creative resolutions.
Demonstrated ability to be professional, presentable, articulate, organized, conscientious, dependable, polished and comfortable in fast-paced environment required.
Proven ability to work on multiple projects required.
Proven proficient proofreading and editing skills, demonstrating a strong use of the English language to include exemplary knowledge, in verbal and written format, of the elements of grammar, punctuation, diction and spelling proficiency.
Proven familiarity with software systems, including document management, record keeping and reporting.
Proven experience handling confidential information and correspondence and a familiarity with methods and approaches to maintain confidentiality.
Commitment to providing a superior level of customer and stakeholder service.
Calm demeanor; capable of consistently maintaining a high level of job focus.
Work Setting:
This position works in an office setting and remains in a stationary position for long periods of time while working at a desk, on a computer or with other standard office equipment, or while in meetings.
Position requires substantial movement of wrists, hands and fingers for continuous computer work.
Educational Requirements:
Bachelor's degree or commensurate experience.
Computer Skills and Knowledge of Hardware & Software Required:
Knowledge of Microsoft Office (Word, Excel, PowerPoint).
Certifications & Licenses (i.e., Series 6 & 63, CPA, etc.):
None required.
Position Demands:
Extended hours required during peak workloads or special projects.
