Job Description:

Summary

The Contract Administrator reports directly to the Project Engineering Manager. This is an intermediate skill level position that requires an individual who demonstrates excellent computer hardware and software skills, contract knowledge, and contractor experience. Extensive knowledge of contract structure, insurance, bonds, scope of work, prevailing wage, use/sales taxes is required. Demonstrates excellent documentation and verbal communication skills to reduce costs and maintain compliance with laws in several states, counties, and municipalities.

Responsibilities

Read and interpret project details with sales, project management, and marketing to create preliminary sales contract terms that represents Watchfire's interests.
Draft and coordinate with professional legal services on written documentation for forms, purchase contracts for products and services, standard sales T&C, specific sales T&C on products, projects, sales channels, etc.
Communicate with and take direction from professional services hired by Watchfire such as legal representation, insurance companies, sureties, professional engineers, architects, etc.
Advise on contract negotiations with Watchfire employees and external business partners.
Maintain a library of written contracts and specifications on projects that extend beyond standard Watchfire Terms and Conditions.
Maintain a library of qualified sub-contractors. Includes assistance to others on qualifying sub-contractors.
Coordinate with the Project Estimator on Special Request Projects to identify and document ancillary project costs such as bonds, reports to jurisdictions, taxes, etc.
As needed, communicate with jobsite contact(s) and Field Technicians on the jobsite during installation to assist with unplanned or unexpected issues regarding the contract terms.
Verify post installation that Watchfire employees and business partners have complied with contract terms.
Submit required reports, ensure payment terms are met, collect lien waivers from subs, submit lien waivers, etc.
Maintain all records for later use by Project Management, HR, Accounting, Service, and Executives.
Coordinate with all sources required to maintain an up-to-date knowledge of contract law.
Stand, walk, stoop, kneel, & crouch in and around tightly configured spaces on jobsites. Must consistently lift and carry 10 pounds and lift and/or move 50 pounds.
Travel for jobsite visits may be required.
Hours are not strictly daytime M-F. NOTE: Travel and tight deadlines will require additional hours and weekends.

Required Qualifications/Skills:

Proficient in reading/writing/typing in English.Comprehend written, visual, and verbal instructions. Experience presenting information in small group situations. Excellent reasoning skills related to cause and effect.
Demonstrated ability to communicate with customers, lawyers, and contractors in a professional and effective manner.
Exceptional teamwork, communication, time management, data processing, multi-tasking skills, with an understanding of urgency and critical issues is required.

Required Education and Licensing

Minimum 1 year of similar work experience with an Associates of Science in Business or related field; or a Bachelor of Science in Business Administration or related field; or minimum 3 years of similar work experience; or Qualified Agent status in any state that requires successful completion of a Business and Law exam, or Certified Professional Contract Manager (CPCM) by NCMA.
Strong experience with computers, internet, smart phone/tablet, and Microsoft software (Word, Excel, Outlook).
Familiarity with accounting protocols
Experience in a legal office, business office, contractor business, or insurance company is advantageous.
6 CEUs in contract law, contract negotiation, insurance, bonding, prevailing wage, tax law, in the previous two years is advantageous.
